How Southwest Resume Services collects, uses, shares, secures, and retains website, portal, and client-service information.

1. Scope and Who We Are
Southwest Resume Services, LLC ("SRS," "we," "our," or "us") provides career-document and related services. This policy covers information handled through southwestresumes.com, our contact and scheduling flows, checkout and invoicing, the SRS client portal, and work performed for a client engagement.
It does not govern an employer, job board, social network, payment provider, or other third party when you interact with that party independently.
2. Information We Collect
- Contact and account information: name, email, phone number, communication preferences, client ID, portal status, and related administrative details.
- Career and engagement information: resumes, cover letters, job targets, work and education history, achievements, compensation context, questionnaire answers, call notes or transcripts when provided or created for the engagement, attachments, and later corrections or clarifications.
- Portal and upload information: questionnaire responses, progress, file metadata, access-token status, access events, IP address, browser/user-agent information, and security or diagnostic logs.
- Transaction information: package, invoice, payment status, amount, and limited transaction metadata. Stripe processes card details; SRS does not need your full payment-card number.
- Communications: inquiries, emails, scheduling information, feedback, support requests, and records of consent or approval.
- Website and device information: pages viewed, referral and campaign data, browser/device information, approximate location derived from network data, cookie identifiers, and analytics or advertising events.
- Work product and quality-control records: drafts, research, claim/provenance records, review notes, and internal records needed to deliver and verify the engagement.
Please do not submit Social Security numbers, financial-account credentials, medical records, or other highly sensitive information unless SRS has specifically confirmed that it is needed and provided an appropriate channel.
3. How We Use Information
- respond to inquiries, prepare scopes, process purchases, and administer client relationships;
- collect evidence, research target roles, draft and revise career materials, conduct quality control, and deliver approved work;
- operate, authenticate, troubleshoot, secure, and improve the website and client portal;
- schedule calls, send service communications, maintain billing and accounting records, and handle support requests;
- measure website performance and marketing effectiveness;
- detect abuse, malicious uploads, fraud, or security incidents; and
- comply with law, enforce agreements, and establish or defend legal claims.
We do not use client documents, excerpts, outcomes, or project details for a portfolio, testimonial, marketing, public example, or generalized training set without separate affirmative written permission identifying the approved use.
4. AI-Assisted and Human-Directed Processing
SRS may use AI-assisted tools under human direction for tasks such as organizing source material, research, drafting, comparison, quality control, and document production. Depending on the selected workflow, providers may include OpenAI, Anthropic, Google, or another reviewed service provider.
We aim to provide only the information reasonably needed for the task and apply access, provenance, review, and confidentiality controls. AI-generated material is treated as a draft or analytical aid, not as proof that a fact is true. A provider's handling of submitted data is also governed by the account, product, settings, and provider terms in effect for that use.
Contact us before submitting information if you have a concern about AI-assisted processing. We will explain available scope options, but some requested limitations may affect what SRS can provide.
5. Service Providers and Disclosures
We disclose information only as reasonably needed to operate or deliver the service, follow your instructions, protect the service, complete a business transaction involving SRS, or comply with law. Provider categories currently may include:
- Website and portal infrastructure: Vercel and Supabase.
- Contact, email, CRM, scheduling, and workspace tools: Formspree, HubSpot, SendGrid, Reclaim, and Google Workspace.
- Payments and invoicing: Stripe.
- Analytics, advertising measurement, and public-rating data: Google services.
- Attachment security: configured malware-scanning services that receive uploaded content for a threat verdict.
- AI-assisted work: selected AI providers described above.
- Private operations and version control: restricted-access repositories and business systems used to create, verify, and synchronize work.
- Professional support: contractors or advisors who need access for the service and are subject to appropriate confidentiality obligations.
These third parties receive only the information reasonably needed for their role, subject to the applicable account, contract, settings, and provider terms. We do not sell personal information for money. Website analytics and advertising technologies may collect or receive browser, device, and event data as described here and in their own policies.
6. Portal Tokens and Security
SRS uses safeguards designed to protect information, including authenticated administrative access, restricted provider accounts, encrypted network connections, access tokens, logging, and private systems. No system or transmission method is guaranteed to be completely secure.
The questionnaire link or token provided to a client acts like a password. Keep it confidential, do not forward it, and notify us promptly at info@southwestresumes.com if it is lost, misdirected, or exposed so we can revoke and replace it.
7. Retention
Retention varies by record and purpose. We keep information for as long as reasonably needed to deliver the engagement, preserve revision and factual history, maintain business and accounting records, secure and troubleshoot the portal, satisfy legal obligations, and establish or defend claims. Different copies may exist in email, the portal, payment records, working repositories, backups, and provider systems.
When information is no longer needed, we take reasonable steps to delete, de-identify, or restrict it in accordance with the applicable system and retention obligation. We do not promise a universal 30-day deletion period.
8. Your Choices and Requests
Depending on applicable law and the circumstances, you may ask to access, correct, delete, or receive information about personal data SRS controls, or to opt out of marketing communications. You may also withdraw a separate portfolio, testimonial, or marketing permission prospectively.
Send requests to info@southwestresumes.com. We may need to verify your identity and clarify the systems or records involved. We will evaluate the request under applicable law and any legitimate service, security, accounting, backup, or legal-retention need. We will not discriminate against you for making a privacy request.
9. Cookies, Analytics, and External Links
The website and its providers may use cookies or similar technologies for essential operation, security, preferences, analytics, and advertising measurement. Browser controls and provider opt-out tools may limit some collection, although disabling essential storage can affect site functionality.
Our website may link to third-party sites. Their privacy practices are governed by their policies, not this one.
10. Children
SRS services are not directed to children under 13, and we do not knowingly collect personal information from a child under 13. Contact us if you believe such information was submitted.
11. Policy Changes
We may update this policy as our services, providers, or legal obligations change. We will post the revised policy with a new effective date and provide additional notice when appropriate. A materially different new use of previously collected client information will not be justified merely by silently changing this page.
